Privacy Policy — Vtech Secure Backup

Last updated: 19 September 2026

In short: Vtech Secure Backup runs on your own computer. It compresses and encrypts your backups there, then sends them to the destination you choose (your own folder, FTP server, or your own Google Drive). Vtech does not receive, store, or read your backup files, your Google Drive files, or your Google sign-in tokens.

1. Who we are

Vtech Secure Backup ("the Software", "we", "us") is a Windows desktop application from Vtech that automatically backs up accounting and database data (such as Tally, Marg, Busy and SQL Server data), compresses and encrypts it, and stores it in a destination chosen by the user. This policy explains what information the Software and our licensing service handle.

2. What we collect

Licensing information. When a license is issued and activated, our licensing service stores the customer name, email address, mobile number, license key, license expiry date, and a hashed identifier of the computer the license is bound to. We use this only to activate and validate licenses, to prevent unauthorised copying, and to contact the customer about their license or support. The customer's registered email address is also used to send one-time passcodes (OTP) for password reset inside the Software.

Settings stored on your computer. The Software keeps its configuration locally: backup schedules, destination folders, and any credentials you enter (for example an email account used for backup alerts, or FTP details). These stay on your computer and are not sent to Vtech.

What we do not collect. We do not receive the contents of your accounting data, your databases, your backup files, or your Google Drive files.

3. Google user data

If you choose to connect Google Drive as a backup destination, the Software asks you to sign in with Google and grant permission. This section describes exactly what that permission covers.

Access requested: only the Google Drive scope https://www.googleapis.com/auth/drive.file.

This scope lets the Software see and manage only the files and folders that the Software itself created in your Drive. It does not give the Software access to your other Drive files, your Gmail, your contacts, or any other Google service.

What the Software does with this access:

What it does not do: it does not read, scan, or modify any file it did not create, and it does not use your Google data for advertising, analytics, profiling, or any purpose other than providing the backup feature you asked for.

Encryption before upload. Backup files are compressed and encrypted (AES-256) on your computer before they are uploaded, so the files stored in your Drive are not readable without the Software.

Google sign-in tokens. The authorisation token issued by Google is stored only on your computer, in the Software's data folder, so scheduled backups can run in the background. It is never sent to Vtech or to any third party.

Limited Use disclosure. Vtech Secure Backup's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. Where data is stored

Backup files remain until you or the Software's retention setting delete them. Your Google authorisation token remains until you disconnect Google Drive (see below).

5. Sharing

We do not sell your personal information, and we do not share it with third parties for advertising. Backup data and Google data go directly from your computer to the destination you selected, without passing through Vtech. We may disclose licensing information only if required by law.

6. Your choices and controls

7. Security

Backups are encrypted on your computer before leaving it, local secrets such as email and FTP passwords are protected using Windows data-protection features, and access to the Software's configuration screens is protected by an administrator password. No system is perfectly secure, but we design the Software so that Vtech never needs access to your data in order to protect it.

8. Children

The Software is intended for businesses and is not directed at children under 13, and we do not knowingly collect information from children.

9. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top shows when it last changed. If we make a material change to how Google user data is used, we will update this page before the change takes effect.
